Solutions / Lead-response assistant

Stop losing leads to a slow reply.

An automated assistant answers your missed calls and new leads, qualifies them, and books the appointment. It texts only inside hours that respect your customers, says it is automated, and puts a person on anything that matters.

What a lead sees

Hi Dana, this is the shop's automated assistant. Thanks for the quote request on the water heater. Is it leaking right now, or just no hot water?

No hot water since this morning.

Got it. A tech can be out tomorrow 8–10am or 1–3pm. Which works?

Illustrative. Names and times are made up; the flow is what we build. Texts like these go out only 8:00 a.m. to 9:00 p.m. on the customer's clock, never on Sundays.

What it does, step by step

Two ways a lead reaches you. The same assistant answers both.

When a call is missed

  1. A call goes unanswered

It rings out, hits voicemail, or finds the line busy. Your phone system tells the assistant who called. Blocked and anonymous numbers get no text.

  2. It texts back, inside the window

It opens by saying it is an automated assistant for your business, that you missed the call, and asks what they need. Texts go out only between 8:00 a.m. and 9:00 p.m. on the customer's own clock, never on Sundays or on holidays you list. A text that would fall outside the window waits: a call at 10:15 p.m. is answered at 8:00 the next morning, and a Saturday-night call on Monday at 8:00.

  3. It asks what your team would ask

A few short questions, one at a time: what is wrong, how urgent, where. Never more than the job needs.

  4. It offers real times

Only times that are open on your calendar. If none are open it says so and tells them a person will follow up.

  5. Your team takes it from there

The booked time, or a task for a person, and the whole conversation land in your CRM. Anything hot alerts a person at once.

When a web form comes in

  1. A form comes in

From your website form, an ad lead form, or a chat on your site.

  2. It replies on the channel they used

E-mail and chat replies can go at any hour, because they are not texts. A text goes only to a number the lead gave you, and only inside the window above.

  3. It qualifies and offers times

The same short questions your team would ask, then real open times from your calendar.

  4. It books, logs, and hands off

Every message, the answers, and the booked time are in your CRM, ready for a person to pick up.

What you receive

A booked time, a record, and a tap on the shoulder when it counts.

A booked time, or a task

An appointment on your calendar, or a task for a person when the assistant should not book on its own.

The whole conversation

Every message in both directions, logged to your CRM. Nothing happens off the record.

An alert when a person is needed

A hot lead, a request for a call, an upset customer, an emergency, or anything the assistant cannot answer safely. It stops replying and says one calm line.

A report of what it did

So you can check its work instead of taking it on faith.

The rules it follows

Built to be allowed to talk to your customers.

Texts go out only between 8:00 a.m. and 9:00 p.m. on the customer's own clock, never on Sundays or on holidays you list. Replies by e-mail or chat are not texts, so they are not held.

A texting window on the customer’s clock

Texts go out only between 8:00 a.m. and 9:00 p.m. on the customer's own clock, never on Sundays or on holidays you list. E-mail and chat are not texts and are not held.

Always disclosed

Every conversation opens by saying it is an automated assistant. It never claims to be a person.

STOP means stop

STOP, or any plain way of asking not to be texted, ends texting to that number at once, and it is not texted again.

A person for emergencies

In home services, a message that sounds like an emergency (a gas smell, flooding, smoke, no heat in a freeze) skips the normal flow. The assistant alerts the person you name for emergencies right away, and tells the customer to call 911 or the utility.

No made-up promises

It offers only open times, and it does not invent prices, availability, or outcomes. It never gives legal, medical, or financial advice.

A person can take over

Any conversation can be handed to a person, and the assistant stops replying.

Who it is for

Any business that lives on booked appointments.

The questions, the tone, and the booking rules change by industry; the system underneath doesn't. Four examples of where it fits. If yours isn't listed, it's probably close to one that is.

Home services

HVAC, plumbing, electrical, roofing: the quote request or missed call that is gone if nobody answers.

Legal intake

Firms that cannot pick up mid-hearing. It screens for practice area and urgency and schedules the consultation.

Dental and med spa

New-patient inquiries from your website and DMs, booked into open consult slots. Nothing clinical, ever.

Real estate

A listing-agent build for expired and FSBO leads, in your voice, with a consultation on your calendar.

Not a fit if nobody on your team can take a booked appointment, or if a first contact needs a licensed professional’s judgment.

Pick the gap

Three jobs for the same assistant.

How a pilot starts

Start small. Watch it work. Then decide.

  1. A 20-minute call

How leads reach you today, where they land, and what happens when nobody answers.

  2. A written scope and one success measure

What the assistant will do, on which channels, and the single measure that decides whether the pilot worked. A pilot is 30 days and paid; pricing is on the pricing page.

  3. Watch-only first

The assistant drafts replies and a person on your team sends them. You see what it would say before it says anything on its own.

  4. Then it sends, in stages

Once the drafts have earned your trust it starts sending, with a person alerted for anything hot. You can pause it at any time.

  5. A read-out at day 30

You decide whether to continue. Nothing converts on its own.

Try it

Tell us about your leads.

How do they reach you today, and what happens when nobody can answer? A person reads every message. The note under the form says what happens when you press Send.

We don't send texts to website visitors, so you won't get one. Prefer to talk it through first? Ask our agent.

Only so a person can call you. We do not text from this form.

How do leads reach you today, and what happens when nobody can answer?

We keep what you send so we can reply. Privacy.

What happens when you press Send

Your message goes to a person, who replies within one business day.

Built on

Your stack, not a new one

Voice through Retell AI or Vapi, orchestration through n8n, and a direct connection to your CRM and calendar — HubSpot, Follow Up Boss, Lofty, or whatever you already run. On the lead side, we connect to the channels they already use: SMS, voice, website chat, email, Facebook and Instagram lead forms, WhatsApp, Messenger, and Instagram DMs. Nothing new for your team to log into.

Not an off-the-shelf tool, and not a set of prompts pasted into a chat app: a workflow connected to the systems you already run, custom API or not, with the texting window, the hand-offs and the log enforced in code. We build only the pieces your business needs, à la carte.

We'll walk through your current lead flow on a call and show you what the assistant's first reply would look like.
